Now that I have a better sense of how this thing is going, I have set up the grading plan:

http://www.io.com/~tcm/etwr2477/data/online/policies.html#grading_plan

It's a shame to award 5 and 10 points for things you have worked so hard on, but everything's got to count.

I haven't allowed any points for general teamwork, cooperation, involvement -- I don't know how to do that; I don't want to hover; and I don't want people to have to snitch on each other. If you have any ideas, let me know.

And let me know if the grading plan does not seem fair, balanced, etc.

Subject: Team Torch roles and rules
Adrian, Carol, Heather

I think David's chapter on Managing Team Projects may clear the fog a bit. I looked at it earlier, but I didn't read it; I will now.

http://www.io.com/~tcm/etwr2477/guides/McMurrey_Ch22_447-459.pdf

I think David makes an important point when he distinguishes company team projects from student team projects. Company teams are well established; at least they've had a lot of practice. Student teams, unpracticed as they are, tend to...let's say flounder a bit. But that's OK. Student teams--especially small teams on a tight deadline, such as ours-- have a great advantage; they can improvise. ( I hope David agrees! ) Given our deadline and our small number, I'm looking for the shortest path between Project Start and Project Finish.

Here's my suggestion on how to follow that path:
* David is going to demonstrate how to transform the project source material into a finished wiki page.
* Once we understand that, we can do what David says in his link above, "Early in your project, get your team to design the document: margins, type style, heading and list style, highlighting, terminology, and so on. Have each team member create a document prototype separately, and then have a group meeting to compare designs and choose one."

I think we've gotten wrapped around the axle with the team roles. David has said several times that these roles will most likely be a team effort. If we were to each create a prototype, then as a group we could define the document's look & feel.

If we agree that that the prototypes mark the start of the path, then we need to know where the path ends; that is: What does the finished product look like? We haven't talked about that yet. In David's words, ".... develop these three groups of information into three separate documents." The three groups are: conceptual information; guide information; and reference information. This quote is from the first few paragraphs at: http://www.io.com/~tcm/etwr2477/guides/project_source.html

So...after scrutinizing our prototypes, and deciding on the look & feel for our document, we need simply to parse the workload.

For our Starbuck's meeting, I suggest we each take a chunk of the source file---let's use the same chunk that David uses---and create our prototypes. If we can't all finish by Monday, we can push it out a day or two. But certainly by 6/25, we need to have defined the final document's look & feel, and to have agreed on which parts of the 3 final documents that we're each responsible for. On Monday, June 28, we can begin writing.

What do you think?

Hi. Several people seem confused about exactly what we are doing.

First, we are studying and going the high points of the technical publishing process from iteam building to proposal to post mortem. Right now, you are developing a proposal to write guide information about the Project Management 2477 application that my company (McMurrey Enterprises? MicroMurrey?) has developed.

I neglected to ask you to click the task-assigner link in the week of June 18 to get assigned your specific task to write a user-guide chapter for Please do that in the next couple of days. It's ready!

I think there will be one task left over which I will document and you can use as a model. The actual writing should be very simple -- you should not need more than a couple of hours to document your set of tasks.

I had thought "internal document writer" would be somebody or somebodies responsible for the information-project proposal and the information-development plan. These two internal documents worry me--I can't tell if writing realistic ones is too much. You will at least read about them, and the assignment pages suggest less time-consuming alternatives.

Structure your teams as you see fit--I did not intend to dictate roles. A library planner determines which books will be developed, what media they will use (online, print, web pages, etc.). This person is also known as library architect.

Yes, if the HTML appears to be a problem, go to some plan B. If you work in Word documents, I believe you can upload them to the wiki, perhaps preventing version problems and editing over each other.

I think I'll record myself copying a segment of the source and formatting it in a wiki page. You can decide.

I'll put those links out there.

********************************************************

In response to Arnie's email ... I thought our question about the internal document writer position was whether it was synonymous with "planner" instead of "scheduler." I thought the project leader was in charge of scheduling. Oh, well. Regardless, it is easy to see that we are confused about the duties ... :) .

Hello everyone,

The meeting got off to a slow start; everyone was chatting over everyone, so that the converstion flow was disjoint. It was Heather, I think, who had a teleconference number we called. Heather: Was that phone call free?

We discussed the project source file, and the team rules and roles. Although we are fairly comfortable with our roles, we do have some questions about them (below), and as the project progresses, our roles may shift.

The action items....

Carol : Set up a rules wiki page. DONE

Arnie: Set up wikis for Information Development and Content Management. But I see that this has already been done, and there are entries in the Content Management wiki...from David, I assume.

Arnie: Relay the following questions and requests to David:
1) Is "internal document writer" synonymous with scheduler? Does that person create the project development schedule?
1a) Would you please paraphrase the Library Planner role?
2) We were a little concerned about the amount of HTML hard coding needed to format the documents in MediaWiki. Should we be?
3) Are there any graphics we can use?
4) We have 2 wiki pages. http://www.io.com/~tcm/btcm_mediawiki/index.php/Team_Torch
http://www.io.com/~tcm/btcm_mediawiki/index.php/Talk:Team_Torch
Would you please make these available from the course main page? http://www.io.com/~tcm/etwr2477/sched_online.html

5) And...I, for one, am unsure about how to tackle the all that HTML code in the source file. I don't see how to take the source code and turn it into a web page.

Our next meeting is Mon. 6/20 at Starbucks--1700 W. Parmer , off of Mopac.

Hello All,

As Melissa suggested, I think using the ACC Google email might be a better idea, as those email messages are easier to identify and categorize.

As for team roles, it seems to me that Shrie assigned the roles based on the feedback we provided, so I'm good with my assigned role. At this point, I would rather not be at the mercy of the Random Assigner. Of course, this is only one person's opinion.

Lastly, I would like to echo an idea that someone else has put forth this evening (I'm sorry, I'm unable to recall my fellow student's name whose idea it was)...that we each have two roles. For example, I am assigned "writer," so I was thinking that if the project is extensive in size, then midway through the project the "editor" and I could switch roles. Same could apply to other roles. However, if the project is short, then it would probably be better to stick with one role as we would have some momentum going in that one role.

I think you're doing a great job coordinating! Thanks for all this info -- my thoughts/ responses below.

- I would strongly prefer to email each other directly (being sure to include everyone - addresses are all listed on the Roles google doc) rather than use the 'class email' option. This would at least allow google mail to easily group emails by conversation. Are other people okay with this?

- I think it makes more sense to do Roles by consensus or vote than it does to assign them randomly. No idea if this is the best way to go about it, but I will send out an email shortly with my thoughts on my currently assigned Role.

- I like the idea of a weekly progress report. I would really like to see these weekly statuses centrally - would it be all right for whoever is doing their status first each week to create a new post on the Home tab of our Team Blog (http://etrw2477.wordpress.com/) titled "Status 6/20/12" or something equally obvious and let folks fill in, so that we can see as a group how and what we are doing? Also we can revise/clarify what we expect to see in these 'statuses' as we see whether they are helpful or what other info we'd need.

Thanks!

Hey class, until we figure out what tool we're going to use to
communicate for this project, class email it is.

Things coming up:

1. I've guessed at some assigned roles in the Roles/Tasks GDoc. We can
either do it this way or use the random task assigner to assign us our
roles (the link currently on our class page isn't working) or we can vote
on the ones I guessed at. What do you guys think?

2. As part of the Rules/Guidelines GDoc, each Wednesday we all need to
send out an email with our progress or weekly update. This is a good
place to catch up on what's going on with the project and see where
everyone is at.

3. Dr. McMurrey is still working on the source for our project, but here is
where we're going to document but here is where we're going to
document some of the aspects of how we're doing this:
http://www.prismnet.com/~tcm/etwr2477/project_management/
(Correct me if I'm wrong Dr. McMurrey)

4. Read about project estimating this week
(http://www.prismnet.com/~tcm/etwr2477/guides/project_estimating.ht
ml) and the project descrip
(http://www.prismnet.com/~tcm/etwr2477/guides/project_source.html).
We can render our project as a web site, a PDF booklet, or a help
system. What is your vote? (For a help system, someone with RoboHelp
would be ideal. I've taken the ONline Help class and can help facilitate
the design of this in Robohelp). A PDF booklet requires more standard
programs. Once we get our roles concreted, we'll speak with the people
responsible for putting the project together and come up with our
output.

PLEASE email back letting everyone know you've read this. Please leave
your comments and questions in that email. Let's get this going y'all!

As I think you know, the PM applications I had hoped we could document all did not work in some way or other. And so I am spending over 16 hours (unplanned, unexpected!) writing our own PM application:

www.prismnet.com/~tcm/etwr2477/project_management/

As you will see, there are 8 "clusters" of topics. I think that is how many people your have on your team, right?

This has turned out to be a good thing, I think. You will see lots of coding infelicities -- which you can tell the developer (me!) about. This is a good thing to know to do for tech writers -- makes us part of the overall product-development team.

I know Shrie has guessed at roles. Shall we do the random-task assign thing that I set up? Or something else? If the former, I'll need to revise the tasks.

Perfect idea about the blog posts for the weekly check-in Melissa. The first person that

Shrie,

Thanks!
Melissa

Hello everyone,

Thanks Carol for that start. Something happened, however. The Torch rules address is actually http://www.io.com/~tcm/btcm_mediawiki/index.php/Talk:Team_Torch

Somehow the 'h' in torch was not in the first address.

Carol has us off to a good start; let's get the rules wrapped up and posted on the wiki page by 5:00 Fri. As Carol requested, please post your comments on the rules wiki.

Thanks
Arnie

I have posted a draft of Team Torch rules and bi-laws on a new page of our team wiki ... see URL address below. (Sorry, I don't know how to insert a hyperlink in this application.)

Team Torch members, please make comments and notes for any changes and post them directly on the page.

Arnie, can we vote on the rules and bi-laws at our next meeting or conference call?

I spent the weekend trying to install and configure PHProjekt -- without success. I experimented with other tools and found way too much complexity.

And so I decided to code our own!

http://www.prismnet.com/~tcm/etwr2477/project_management/

I've got the first four blocks (stanzas?) done and hope to finish the rest Tues.

It's going to change up the tasks -- I hope you all can make that adjustment.

Documenting the tasks for this code will be super-easy. I wanted that so you could focus on team documentation.

Let me know your thoughts.

Two of my three summaries are up. I will knock out the last one tomorrow. Of course, all suggestions for improvement are welcome. You'll notice with the first one, I had some issues with ordered lists, which I'm not sure I can fix unless I have the CSS upgrade. Anyway, I abandoned that format for the other summaries. Like Melissa, I took quite a few liberties with Hackos' words!

Team Torch:

Here are a few questions I have regarding the project source file for tonite's meeting:

1) Who is the target audience? What's the purpose of the project? To teach readers how to hard code CSS files?
2) David prefers we use wiki for the documentation. Does wiki have adequate built-in formatting capability, or willl we have to do some hard coding ourselves? Check out this page: http://www.io.com/~tcm/btcm_mediawiki/index.php/Formatting_WikiMedia_Pages

We haven't heard from everybody about tonite's meeting on the chat page at http://www.io.com/~tcm/etwr2477/sched_online.html. We are Team 1.

I am experimenting with a free online app offered by Podio. I have invited Shrie to be a member. You can see something of whyat it looks like here:

If it requests a login name and password: my e-mail -- june6jane

This problem with PHProjekt sets me back. I will try to find help Monday.

Hi Everyone,

All but one of my summaries are up and I have linked to them from the team blog (http://etrw2477.wordpress.com/chapter-summaries/). I think mine are a little long-winded -- feel free to skim these as you would a text book, I tried to make the 'key points' stand out with formatting.

I also used Hackos' words and phrasing freely in my summaries (when it fit with what I was saying) but did not usually use quotation marks in these cases -- I hope this is okay as we are summarizing her work after all.

Finally, I wanted to share that I don't have internet at home so I rarely use it on the weekends, so if anything important comes up as far as team decisions (or deadlines later or anything like that) feel free to call or text me at 205-451-5967, even if it's just to say "Hey you really need to go read/contribute to 'x' " -- I hope this isn't too much of an inconvenience.

Thanks! :)
Melissa

Adrian, Carol, Heather,

Here again is the suggested agenda for tonite at 7:30 to 8:00. We're cutting it short to watch Obama---can't miss that.

1) Briefly discuss our roles, air out any concerns, make changes if necessary.
2) Discuss the course, and make of list of questions/concerns/comments for David. I think we need to spend a little time to understand what's expected of us. This list would be a living list, which we would keep track of.
3) Exchange contact information...and maybe we should do that via a private e-mail chain.
4) Set action items if we need them.

If we have time, we should get a few of our team rules established tonite, also.

Let's use David's chat room here: http://www.io.com/~tcm/etwr2477/sched_online.html

Thanks so much - I saw that you had done something along these lines in your summary. I think in the case of the documents I'm trying to represent, just uploading the entire document to a Google Share option and linking to that would be easiest, so I'll upload and add links once we've agreed how to share info like that. Thanks!

Melissa, YEP! You can either copy and paste the text, or paste (or upload) a screenshot
of the portion of text you want to show. Another option is to link to the document within
your post.

Are you trying to insert the document inside a blog post? Let me know and I can help
you.

Shrie

PS - BUT, this might be a good foray into talking about Google Docs for collaborative
use. You could easily upload the documents there for us all to see. Also, Google Drive
(cousin to docs) is a place where you can upload documents or other things, similar to
DropBox. That also might be a good place that we can all view them. Then you could
place a link in your post to that doc in the Google Drive.

Silly question about WordPress -- I was able to download several 'sample documents' for each of the chapters I'm summarizing from the publisher's website here: http://www.wiley.com/WileyCDA/WileyTitle/productCd-0471777110,descCd-DOWNLOAD.html, and I'd like to include some of those in my summaries (or add them when I'm able to) -- so, is there an easy way to include documents or add documents to a WordPress post?

Thanks!

Shrie,

Carol, Heather, Adrian,

I've got Word 07 demo also. Mine will run out in July, I think. I'll probaby buy a copy. If you're refering to the Hacko reading, we have all week to finish that. For the first meeting---let's set it for Tues, June 15, 7:30 - 8:30 PM.

However, rather than Blackboard chat, let's use the chat room David set up for us at the couse schedule page. The chat room link is on the left; we're team 1.
http://www.io.com/~tcm/etwr2477/sched_online.html

Before the meeting, I suggest we all listen again to David's recording of the course overview (found on same link above within the activities of May 31.) Also, carefully re-read our role descriptions.

The agenda for the first meeting on 6/15 at 7:30 PM might be....

Any other ideas for the agenda?

Arnie

Later today, I'll check up on your team wiki pages. Also, there seems to be a problem with the timesheet code, which I'll fix today.

Our efforts now turn to reading JoAnne Hackos. I've set up this code, chapter-assigner link, out on the schedule page in the block for this week. Click it, and then fill out the form and see which chapters you get. You've got through next Sunday to read and summarize your chapters. (And maybe you can use this time to complete team-building.)

I am having trouble "watching" wiki pages. For example, I want e-mail whenever this page is changed: http://www.io.com/~tcm/btcm_mediawiki/index.php/ETWR_2477_teams. That's "watching," but I can't make it work! Help!

Let me know if you are having any kind of problems with this course.

Hi all,

Steve, thanks for offering to set up the team blog.

I agree that we need some chat room or wiki to have discussions regularly. If the one David puts out in the classroom gray area works, great! I wonder if there's a widget for forums on Wordpress? Or, I know ACC Blackboard has forums, but it might be less efficient to have to go to three different websites to coordinate with each other.

I completed my profile and looked at the others today. Looks like so far we're light on "project designers." I also started doing the "information-development" reading tonight to try to get a handle on team roles. Also, I agree, we should have alternatives for what to do if people drop or fall behind.

Thanks!

Concerns:
The profiler thingy(http://www.prismnet.com/~tcm/etwr2477/cgi-bin/profiler.cgi?version=online&view_data=yes) has 4 submissions but the class roster indicates we have 8 people in the class. Unless there is something not updating properly, please complete the profile!

Next steps:
I can set up a class blog tonight and invite the class to be contributors/editors. From here we can start putting up posts with our role preferences.

I would also like to recommend we create links from the team blog to our blog pages for our chapter summaries.

We also need to divy up how to knock out the "how the role work togethe" requirement for the 17th. We could add suggestion to another team blog string.

Thoughts ?????

I understand that we are not doing PHProjekt but will collaborate upon a CMS/database app from a local Austin company. A link to the company would be a great part of the team blog but I get lost sometimes going through all of the "do_not_respond_to_this_address" emails.

Thanks!
Sarah M

Okay, a dumb little programming error is fixed. (Dumb little programmer!)

This week you finish up your Hackos readings and summaries and thywn move onto reading everybody else's summaries and commenting on them.

Also, this week we move into thinking about teams. Before semester started, I wasn't sure how many people we'd have and how many teams would be possible. But the comments in quick survey were pretty strong and pretty convincing for one big team. So let's do that.

As for the team blog, there need be only one. Your team will have to decide on roles. Let me know if I have anything too vague.

Melissa, all of the questions about decision making, picking roles, and updating the blog are for the team to answer. Somebody will have to step forward and be the coordinator for at least this first stage--team building. Whoever does ought to have some consideration when the primary work tasks are decided.

I'd prefer not to be The Decider in these matters. Your profiles may provide some strong indications on who does what. We can't exactly get together and draw lots; two of us are in New York.

For June 17, I need to see a team blog with names, roles, and policies regarding potential problems.

Okay? Let me know what you think.

Just realized that I have another question. With regard to the team blog due June 17 - is it correct that there will only be one of these per team? Who is responsible for setting up the team blog and making the decisions about team roles and other information that needs to be documented in this blog (team roles, due dates, conflict resolution plan, etc.)?

What needs to be documented in the blog by the 17th? Just the team roles?

Thanks!

Thanks!
Sarah M

Yes, please do set up the blog and ask us to contribute. I'm assuming we're going to need
to agree on a team lead of sorts. I'll try to crank out some Hackos summaries pretty soon.
I'm willing to help coordinate and facilitate.

Hi, all! I hope we are all on board for this course.

By now, you should have

* created a blog in WordPress and posted a link to it on the blog guide page
* gotten a randomly assigned set of readings to do and to summarize
* started a timesheet to keep track of the hours you spend on this course.

This is a very new and adventuresome course. If you find problems, please let me know.

I will send class e-mail through ACC e-mail. Just enable access to your blog for those addresses.

I also started doing the "information-development" reading tonight to try to get a handle on team roles. Also, I agree, we should have alternatives for what to do if people drop or fall behind.

Thanks!

Yes, please do set up the blog and ask us to contribute. I'm assuming we're going to need
to agree on a team lead of sorts. I'll try to crank out some Hackos summaries pretty soon.
I'm willing to help coordinate and facilitate.

Hello Everyone: I put this on the wiki page also: http://www.io.com/~tcm/btcm_mediawiki/index.php/ETWR_2477_Teams

I'm Arnie. I guess I'll throw out the first ball. Since we have 2 teams, we need 2 team coordinators. Based on the Getting Acquainted wiki, I nominate ScottB and Donna S. And since we have 4 people per team and 8 team positions, we need to choose 2 positions each. As for myself, I'd like to nominate myself as editor and library planner. I chose editor because I just completed an editing class with David; I like to edit. I chose library planner because the job description sounds like it's related to editing.

Like I said, this is the first ball in the field; somebody catch it.

Arnie
